We did a 3 hour Marathon Parade meeting!??
I want to thank all that showed up!
2 main announcement’s before the overview
1) Our Board’s “Tab” is now squared up with Barry as the new card has been re-created and transferred to Tracy….LOL
2) The city Police will NOT be charging us again this year for their services. They had not reconciled yet on what the price should be…so that is in our favor this year!
OK..over view —We had 3 Guests
Adam– representing Rumble Around the Lake.
He talked abut the raffle winners and how we will will be hosting the area by the reviewing stand for their truck.
It will be providing their own separate VIP seating for 12 people to watch the parade as part of a whole-day event they won in a charity raffle.
So we discussed the logistics of where the truck goes compared to the reviewing stand.
Jean will be our liaison for and Q&A to Adam or Rumble people.
Laura and Chris Stilz
They are 2 new Volunteers recruited by Lead Volunteer Deb F.
They were interested in meeting the board, watching a meeting, and helping Deb with further Recruiting!

I then went around the room to do introductions.
Then went around the room to give updates and reports.

I read Debbie T’s VP report from the email I received.
-Horace Mann Contract and Insurance is in place
-Line up is in process since we have 30 entries so far.
-Elks Club Giant Flag will be in front of the parade this year.
-She gave us the Line up order plan.
-Section A & B may need some rearranging to fit everyone
-City Police and all Section A need to physically Sign up..on our new site to tell us what they are bringing.
– Ray Lytle to go on 5th & Monroe by Whiskey Jacks.
– Cool Cruisers – She made a recommendation…after discussion, we decided to CAP them at the 15 they said already signed up..and pay the $50..they just have to be up front with us on how many are showing so we don’t get shocked on parade day.
– Her Ansar Shrine recommendation to 10 entries/5 per entry….but we did not gt to discuss Ansar as a board.
Tracy was present as her new title as Treasurer!
So she got an ear-full this week with her new job.
I described it as getting tossed into the ocean of the parade…THEN asking if you knew how to swim..LOL
She is doing good and keeping up for the bulk transfer of duties from Dan to her.

Also noted we need to pick up items from Dan.
Also having a SpreadSheet with prior year info is needed.
She is seeing the Debbie T’s reimbursement request still out there to be paid as well.
She also stated about the donation..and that is once she gets all the expenses in,,, and determine an estimate on the net income,,,
she will be able to determine the amount of the donation.
Jean had a lot of significant notes that included the Rumble around the Lake.
Discussing the $3500 that will need invoiced.
And using the 100 anniversary Rt 66 LOGO, on and around the parade.
We need to use the money ad Barry had an idea for COOZIES that had the Rt66 Logo on 1 side and our Parade logo on the other
They can be handed out one of he floats
Miranda helped report on the City meeting overview items we discussed..(there was a lot, I noted them on our admin page)
Brought the guests up to speed on all our media methods, like social media, newspaper, Channel 20..etc.
Brought us up to date with our Sponsors statuses and the plan to get more going forward,
I will be sending a new one from Missouri that wants to sponsor reviewing stand for $500
She also got into the Food Trucks, where we decided to CAP the number at the 6 we have now.
I went ahead and CLOSED that on our website last night.
Barry discussed the Wrist Bands- needing to purchase a new set of 10,000 as we are using up the ones we have had in stock.
That’s about $150 which is a deal. Thanks Barry.
He will do the collecting of the $250 from the downtown bars.
He will also retrieve any unsold/unused wrist bands from the bars to used for next ear.
He reported Porta Potties are scheduled by Little Johnies.
He also reminded us that on actual parade day, he is unavailable because..well..he is running the Alamo (literally)…bring stock to and from his outdoor sellers)
Lead Volunteer Deb F ...will get busier as people start signing up.
I included her to receive sign ups as they come in.
I chatted about the Web site
Miranda said the Download was not working for the Spreadsheet.
(I fixed that this morning)
Also, an entry signed up and went thru twice…s they were changed twice..I went into Stripe,com and provided a refund to 1 payment.

Although the 5:30pm meeting started breaking 7:45pm….it continued on as separate conversations until 8:30pm
Tracy got a ton of new info on the cash money activity from Barry….and Miranda gives money via Checks from Sponsors.
As usual,,I will get these out at our Admin site where I keep the Global View Spreadsheet.
